PHOTOGRAPHY SERVICES AGREEMENT

1. Parties

This Photography Services Agreement ("Agreement") is made on ____________ between ____________ ("Photographer") and ____________ ("Client").

2. Services

Photographer will provide photography for the Client's wedding on ____________ at ____________. Coverage is 8 consecutive hours. Coverage beyond these hours is not included unless agreed in writing.

3. Deliverables

Photographer will deliver a selection of professionally edited digital images through an online gallery within 42 days after the event. The final number depends on the event and is not guaranteed. Photographer selects and edits images in their own style; unedited files (RAW files) are not delivered.

4. Fees and payment

The total fee is $0.00. Photographer is not obligated to deliver images until all fees are paid in full.

5. Cancellation and rescheduling

If Client cancels, the retainer is kept by Photographer to cover the booking and the work turned away. If Client cancels within 30 days of the event, the full fee is owed. Client may reschedule once to a date Photographer has available, with payments already made applied to the new date. If no suitable date is available, the change is treated as a cancellation. If Photographer cannot attend because of illness, injury, emergency, or events beyond their control, Photographer will try to arrange a qualified replacement; if none is available, all payments made will be refunded.

6. Copyright and usage licence

Photographer owns the copyright in all images. After full payment, Client receives a non-exclusive, non-transferable licence to use the delivered images for personal, non-commercial purposes, including sharing online with credit where practical. Client may not sell the images, license them to others, enter them in contests, or use them commercially without written permission.

7. Print rights

Client may print the delivered images for personal use at any lab of their choosing. Photographer is not responsible for the colour or quality of prints made by third-party labs.

8. Privacy

Photographer will not publish images showing Client's likeness in advertising or marketing without Client's separate written consent.

9. Limitation of liability

Photographer uses professional equipment and backup storage and will take reasonable care with the images. Photographer is not responsible for shots missed because of venue rules, weather, guests, schedule changes, or Client not following the agreed timeline. If images are lost or damaged through Photographer's fault, Photographer's total liability is limited to a refund of the fees Client has paid under this Agreement.

10. Client responsibilities

Client will share a timeline and a list of must-have shots before the event, confirm that the venue allows photography, and provide a meal and breaks for Photographer when coverage exceeds five hours.

11. Governing law

This Agreement is governed by the laws of ____________. This is the entire agreement between the parties; changes must be in writing and signed by both.

Turn your booking terms into a clean, readable contract in a few minutes. Fill in the client and event, what you'll deliver and when, your fee, retainer, and balance schedule, and choose how cancellations, copyright, print rights, model releases, and liability are handled. The preview updates as you type, and the PDF comes out with numbered clauses and signature lines for both parties. It works for weddings, engagements, portrait and family sessions, headshots, and events. Not legal advice; have an attorney review before use.

When the job is booked, the invoice generator bills the retainer and balance in the same no-account way. To sign the PDF digitally, use Sign PDF or make a signature image with the signature generator. If the couple is still planning the reception, the wedding seating chart prints a table-by-table list that also helps you find family members for the group shots.

Frequently asked questions

What should a photography contract include?

At minimum: who the photographer and client are, the date, location, and hours of coverage, what will be delivered and by when, the total fee with the retainer and balance due dates, what happens if either side cancels or reschedules, who owns the copyright and how the client may use the images, whether the photographer may use them for marketing, and a limit on liability. This generator covers each of those and fills in your details, so the terms match what you actually agreed rather than a generic template.

Is this contract legally binding?

A signed agreement with clear terms and payment is generally enforceable, but contract law differs by state and country, and some rules, such as how non-refundable retainers or liability caps are treated, vary. This tool produces a plain-English starting template, not legal advice. Have a local attorney review it before you use it with clients, especially for weddings and commercial work where the stakes are higher. Once it has been reviewed, you can reuse the same settings for every booking.

Should the photographer keep the copyright?

Most portrait and wedding photographers keep the copyright and give clients a personal-use licence. The client can print and share the photos, but can't sell or license them. That lets the photographer use their work in a portfolio and protects them if an image is later used commercially. Transferring copyright is more common in commercial or work-for-hire jobs, and is usually priced higher. Toggle the copyright option to switch between the two clauses and compare them side by side in the live preview.

What is a model release and do I need one?

A model release is the client's permission for the photographer to use images showing them in marketing, advertising, or competitions. Portfolio use on a photographer's own site is common, but advertising use generally needs clear written consent. Turning on the model release adds that permission to the contract. Leaving it off adds a privacy clause instead, promising not to use the client's likeness in marketing without separate consent. Guests at an event are not covered by the client's release, so ask them separately before featuring them.

Is my information uploaded anywhere?

No. The contract is assembled and the PDF is created entirely in your browser, so names, addresses, and fees never leave your device. Nothing is saved between visits either, so download the PDF or copy the text before you close the tab. The PDF includes signature and date lines for both parties. You can print it for wet signatures, or add signatures digitally with a PDF signing tool and email the signed copy back to the client for their records.
